Online Contacts Tutorial

Viewing
Contacts are available from the main menu in red across top of all pages in the Warnell web site.
You can sort according to last or first name, position, and Specialty Area (Specialty Area for faculty only).
The default sort is ascending (from A-Z); if you click on the sort again it will change to descending (from Z-A).
Clicking on a person's name (faculty only) you'll go to their Bio/Profile page.
Search capabilities are available from the drop down list next to the search box.
"Key Contact" is for certain people in key positions (Dean, Associate Deans, heads of certain departments).
Administration
Everyone
You must have a Warnell email address in order to access the administration pages. Contact Mark Cherry at
mcherry@warnell.uga.edu if you need to obtain a Warnell email address.
Log in at
http://warnell.uga.edu/warnell_bios/app/Login using your Warnell username/password. (Your username is the part of your email address before the "@warnell.uga.edu").
If you
get the error "Could not authenticate user" and you know you put in the right log in information, your password may have expired. Check the FAQ about
resetting passwords to see if that's the problem.
To edit your information, click "My Contact Info" at the top of the page.

For staff who are also students:
- If you are both a Warnell staff member and a Warnell graduate student, choose "Graduate Student & Staff" in the "Contact Type" drop down box.
- If you are a Warnell staff member and a graduate student in another school/college, just choose "Staff".
- If you are a staff member in another school/college/department at UGA and a graduate student at Warnell, choose "Grad Student".
If you go by a different name than your first name, enter your nickname in the Nick Name field
Your "Position" is the title you have (i.e. Administrative Assistant)
You may have more than one address, such as an office address and a lab address. If you need more than one, click the "Add Address" button at the bottom of the page.
"Key Contact" is for people who are heads of their department - most of the time leave as No
Don't forget to click "Save" at the bottom of the page when you're done!
Faculty
This system pulls from a number of databases, each with their own administration screens. See
Faculty Listing Key and
Faculty Bio/Profile Key for more information. (Thanks to Sara Schweitzer for the loan of her photo for this dummy faculty member!). See screenshots of

Log in at
http://warnell.uga.edu/warnell_bios/app/Login using your Warnell username/password.

A few specific notes:
- If you put in an alternative email, the Faculty Listing and the Faculty Bio/Profile will display that one. Do not remove your Warnell email address - you need that to be able to log in.
- Type items into boxes exactly as you want them to appear. (If you have blank lines between entries in the input box, you will have blank lines on the web page)
- To list "Education" or "Prior Positions" under Background on the bio page, you must enter those headings in the text box. (See here for example).
- Most faculty will check Yes for "Grad Committee" - check No if you are ineligible to sit on a graduate student's committee
- You can choose as many Specialty Areas (aka Areas of Specialty) as you wish, but you can not create different ones than are listed
- You may upload your CV, and update it, but once one is uploaded you may not remove it. Write to the Warnell webmaster at webperson@warnell.uga.edu if you'd like to have one removed.
- When adding an Author, make sure if it's a Warnell member you choose the one with "Faculty" below their name. The full name will be converted to initials when it displays.
- You can list as many Publications as you wish - just change the number in the box at the bottom of the list of Publications. Grab and drag to reorder. You can not delete a publication once entered - just drag it to the bottom and set the number to be displayed below your total number listed.
- Miscellaneous Info can be anything you wish, including the title
- When you add a Grant, don't include the $ sign in the Award Amount - it will be added on the display page
- Not all areas are required - you can choose to not have any Introductory Text, for instance
